Burnham Bowls Club Privacy Policy

Members’ personal data:

When you register as a member of Burnham Bowls Club or renew your membership (including if you are registering on behalf of a child, we will ask you for the following personal information:

  • Contact details: name, address, email address, telephone numbers;
  • Date of birth;
  • Date of joining the club;
  • Membership category: playing, social, junior.
  • Competition information: if you enter a competition organised by a Bowls association as a singles player or as a team manager or captain then your contact details may be shared with that association.

Why we need your personal information

We need to collect our members’ personal information so that we can manage your membership. We will use our members’ personal information to:

  • send you membership communications by post or email in relation to membership services, including general meeting notices, membership renewals, membership fees, and bowling and social events.
  • We supply Buckinghamshire Bowls Association with a list of names of playing members of the club. This information is required as part of our affiliation to Buckinghamshire Bowls Association and allows our members to enter County Competitions.

Who we share your personal information with

  • Competition information: if you enter a competition organised by a Bowls association as a singles player or as a team manager or captain then your contact details may be shared with that association.
  • We publish the results of competitions on our website. This includes competitors’ names and results.
  • We use third party information processing services to help us manage your membership. These organisations have undertaken not to share your information with anyone else.

How we protect your personal information

Your personal information is stored on our electronic filing system and our servers based in the UK, and is accessed by our committee members for the purposes set out above.

How long we keep your personal information

We will keep certain personal information of members indefinitely, unless asked to delete it, in order to confirm your identity, when you were a member of Burnham Bowls Club, and for how long. We need to do this so that we can provide references to other bowling clubs if you ask us to do so.

Your rights

You can exercise any of the following rights by writing to us at Burnham Bowls Club or by an email to secretary@burnhambowlsclub.co.uk

Your rights in relation to your personal information are:

  • you have a right to request access to the personal information that we hold about you by making a “subject access request”;
  • if you believe that any of your personal information is inaccurate or incomplete, you have a right to request that we correct or complete your personal information;
  • you have a right to request that we restrict the processing of your personal information for specific purposes; and
  • if you wish us to delete your personal information, you may request that we do so.

Any requests received by Burnham Bowls Club will be considered under applicable data protection legislation. If you remain dissatisfied, you have a right to raise a complaint with the Information Commissioner’s Office at www.ico.org.uk


Use of Email Tracking Pixels

All emails sent by the system contain a tracking pixel. This is used to track whether each email has been opened by the recipient, and when. This information can be viewed by those users of the system with permission to view email delivery reports. We do not display any information regarding the location of the recipient. Note that the tracking pixel is only activated if the recipient chooses to download images into their email client.

Data Processor

We, Burnham Bowls Club, make use of the myClubhouse software supplied by Simmetrics Ltd to process personal data we include on our myClubhouse website in accordance with our privacy policy set out above. Simmetrics Ltd processes your personal data on our behalf and they can only do so in accordance with our written instructions.
